How trovello works for employers and recruiters
Set up a role once. We send you the people who genuinely fit it.
There is no job ad and no pile of applications to sort. You tell us what the role needs. Our software checks every candidate against your requirements, then builds a shortlist of up to five.
What you get
- A shortlist of up to five people, and only genuine fits. We never pad it to reach five.
- Everyone on it has already met the requirements you set, such as work rights, location and qualifications.
- They are ranked on the three things you told us matter most for the role.
- $1,500 per role during the pilot, plus GST, and you pay only if you choose to unlock its shortlist. A shortlist with nobody on it is free. No placement fee.
- The people you ask about are told it is your organisation asking. Each candidate gets two business days to decline before their details come to you.
Who decides what
trovello builds the shortlist. It never decides who gets an interview or a job.
- trovello
Checks each candidate against what the role requires, compares the answers and produces a shortlist of up to five.
- You
You choose who to ask about, who to talk to and who to hire.
- The candidate
Chooses whether to go ahead, and can say no to any request without giving a reason.
The pilot
The pilot covers roles anywhere in Australia in four functions: People and Culture, Finance and Risk, Operations, and Supply Chain and Logistics. It covers two career levels: Early Career Professional (2 to 7 years) and Established Professional (7 years and up).
If your role is outside the pilot, join the employer and recruiter waitlist and we will tell you when we can match it.
Graduate and Head of, Director and C-suite levels are built and opening next, and more functions will follow.
Setting up a role
You describe the role once. You answer matching questions on the same areas a candidate answers about themselves, so the software compares like with like.
You start with the requirements a person must meet. Then you tell us about the work and how the role operates. Last, you choose the three things that matter most for this role.
Most answers are chosen from set options, and a few are in your own words. You can stop part-way, and a colleague can pick up whatever is left. You do not need to be in HR: a hiring manager with an account in your organisation can set up a role too.
Once you submit, your answers are fixed for that role. If something needs changing, tell us and we will sort it out.
The areas you answer about
| Area | What you tell us about the role |
|---|---|
| What the role requires | Location, work rights, role type, qualifications, accreditations and tools. The salary range is a guide, not a filter. |
| The work itself | Function, skills and exposure. |
| Scope and scale | How big the role’s world is. |
| Leading and influencing | How the role moves things forward. |
| Ownership and decisions | Accountability and judgement. |
| How the role works | Pace, style and environment. |
| Learning and adapting | What the role asks of the unfamiliar. |
| Where the role leads | The progression it supports. |
| Industry and environment | The context the role sits in. |
| What you offer | Team, purpose and motivation, and the three things this role and organisation offer. |
The questions you see depend on the career level of the role. Not every area appears at every level.
After you submit
We score candidates against your requirements and we email the person who set up the role when the shortlist is ready. There is nothing else for you to do.
What you told us matters most
Everything you told us decides who is on your shortlist. Your three priorities decide the order they appear in.
What happens now
- Every candidate is checked against what you asked for. Each one is measured against the requirements you set, then scored on everything else you told us about the role and ranked by your three priorities. Anyone who does not meet your requirements is not put in front of you.
- You choose whether to unlock it. We email the person who set up the role when the shortlist is ready. Unlocking it shows you the candidates.
- Up to five people come back. They are shown by reference code rather than by name, with their scores and the reasons they are there. If fewer than five are a genuine fit you will see fewer, and a role that returns nobody is never charged for.
- You ask for the ones you want. Asking notifies that candidate straight away, and names your organisation. If they do not decline within two business days, their name and contact details come to you and you can get in touch directly.
- If nobody fits yet. Your role stays open and re-matches as candidates arrive. There is no fee for a shortlist with nobody on it.
Your shortlist
Your shortlist holds up to five people, the ones most closely aligned with what the role needs. If fewer are a genuine fit, you see fewer. We never pad it.
Each person is shown on an anonymous card, by a reference code, with the reasons they are there and anything to be aware of. You see no name or contact details until that candidate’s details are released.
If more than five people fit
We rank them first by how closely they fit, in broad bands. Within a band, we rank on your three priorities, then on their overall score. You get the top five.
Salary is a flag, not a filter.
Someone whose salary expectation is above your range can still reach your shortlist, with a flag so you can decide.
- Up to 5% over the top of your range: no flag.
- 5 to 10% over: “a little above your range”.
- More than 10% over: “well above your range”.
You never see the figure.
Asking for details
Choose whose details to ask for and confirm the request. We email each person and tell them it is your organisation asking. The rest of your shortlist stays anonymous.
Each candidate gets two business days to decline before their details come to you.
Business days are Monday to Friday, other than NSW public holidays. The time runs out at 5pm Sydney time on the second one. Ask at 10am on a Monday, and the outcome shows after 5pm on Wednesday. A request made after 5pm, or on a weekend or public holiday, counts from the next business day.
Until then, every request reads the same, whatever the person does.
If they say no
Nothing is shared. You are not told why, and the card reads “Unavailable” whatever the reason.
If they do not decline
Their full name, email address, phone number, answers to the role’s questions and resume (if they added one) come to you, with a line on how their salary expectation compares with your range. We email you. From then on, you talk to them directly, and you decide who to interview and hire.
Close the role when you are done
People you had asked about are emailed that the role has concluded. Everyone else on the shortlist sees it on their dashboard. Nothing more is shared after it closes.
What you pay for
Setting up a role is free. You pay $1,500 per role during the pilot, plus GST, and only if you choose to unlock its shortlist. A shortlist with nobody on it is free, and there is no placement fee.
- What if fewer than five fit? You see fewer, and the price is the same. The shortlist shows how many people are on it before you choose to unlock it.
- What if someone says no? Nothing is shared and you pay nothing more.
- What if more than five fit? You get the top five, ranked by fit, then your three priorities, then overall score. The price is the same.
- Does an invoice unlock straight away? Yes. Unlock by card, or generate an invoice. An invoice unlocks the shortlist straight away, with payment due in 14 days.
Your team
Invite the manager a role reports to. Once the role has a shortlist, they see it and can ask for candidates’ details, the same as you. Paying for the shortlist and closing the role stay with you.
Colleagues can join your organisation by invitation, or with an email address at your domain.
What we send you
Most of these cannot be switched off. You can turn off shortlist-ready emails in Settings. We email you at these moments:
- When the role’s shortlist is ready to review, we email the person who set up the role.
- When people you asked for on that role have been shared with you, or have become unavailable. Every reason reads the same, so you are not told which it was.
- When a candidate whose details you hold updates their answers.
- A copy of any invoice you generate, if it went to a separate billing email.
If you are your organisation’s main contact, we also email you when a colleague joins by email domain or asks to become an owner.
What you see, and what stays private
You see the people shortlisted for your role, and only them. A candidate’s profile is never open to search.
Each person is anonymous until their details are released.
You never see a candidate’s salary figure, only the flag.
Who we are
trovello is run by Trovello Pty Ltd, based in Sydney.
It was started by people who have led People and Culture in large Australian organisations. We have sat on the hiring side, and we built trovello to give employers a short list of people who fit, not a long list to screen.
